Elmira Gymnastics Club Policies

Welcome to the Elmira Gymnastics Club. We hope your experience with our activities will be challenging and rewarding in every sense. The following policies and behavioral guidelines are designed so we can organize each activity to best serve you and your child. If you should have any questions regarding the format or policies of any of our programs, please feel free to let us know.

Parent Observation

Parents are welcome to watch the growth of their children at EGC. Please be mindful that if your child is distracted by your presence it might be helpful for you to watch from the party room. Siblings are allowed if they remain quiet, however they must stay away from the equipment and are not allowed in the party room without the accompaniment of a parent. All gymnasts who arrive early for class must remain in the parent section until called to the floor by an instructor. 

Parent & Tot and Baby Gym participants: One adult is required per child, but more are welcome. All adults must also remove shoes before coming onto the equipment.   

Transportation

Students should arrive on time for class, and be picked up promptly after class. Students waiting for transportation must wait inside the building.

Clothing

Tiny tumblers (including Parent & Tot, Gym Kids and Super Kids) may wear a leotard, or comfortable clothes with no snaps or buttons on the shorts/pants. Bare feet or socks with grippy bottoms are best. Girls Gymnastics participants should wear a leotard for the safety of the gymnast and the spotters. They may wear shorts or pants over the leotard so long as there are no buttons or snaps. Boys Gymnastics participants should wear a t-shirt (tucked in) and shorts or warm-up pants. 

All gymnasts with long hair should have it tied up. Gum, candy, and jewelry are not allowed. Nylon stockings are slippery and not safe for gymnasts. No shoes are allowed on the gymnastics equipment.

Safety

Please be advised that any activity involving motion, or height creates the possibility of accidental injury. Due to the specialized nature of this activity we must reserve the right to refuse instruction, to limit or restrict participation, to expel or place on probation, or to take whatever action the instructor deems necessary to provide for reasonable safety, discipline, and organization. We further reserve the right to altar any rule or policy if conditions warrant such.

Health Policies

NOTE:  A comprehensive Student Medical Information Form must be completed and on file with the club before any student or gymnast participates in club programs.

Students may not participate in classes while sick. Children with flu symptoms, ear infection, pink eye, lice, whooping cough etc, CANNOT attend class. If your child was not able to attend school, they also cannot attend class at Elmira Gymnastics Club. If your child has been diagnosed with an illness that may infect another child, and has been in gymnastics class during the time when they were contagious, please contact our office right away. 

SPECIFIC RESTRICTIONS:

ANTIBIOTIC: Children must be on antibiotic for a full 24 hours before returning to class.

FEVER: Children must be 24 hours fever free without the use of medicine before returning to class.

LICE: Children may not return to gymnastics until they are free of lice and nits.

Return Check Fee

All returned checks will be subject to a $25 Return Check fee. After two checks are returned in a one-year period, cash or credit card payments will be required.

Monthly Tuition

First month's tuition is due to register. Tuition for the remainder of the session is due by the 15th of the month prior (October tuition is due by September 15). Checks, cash or credit card (Visa, Mastercard & Discover) payments will be accepted at the front desk, or credit card payments will be accepted over the phone. Credit card and e-check payments can also be made online through the Parent Portal.

Tuition not paid by the 21st will be assessed late fees at the following schedule:
*22nd:   $5/child late fee
*29th:  $10/child late fee
*1st:  Students will be dropped from class if tuition is not paid by the 1st of the month.  

Discounts are given for advance payment of 5-month session, or for Autopay payments* *Discount is not available for team gymnasts. 

The Annual Membership fee is due annually, on the anniversary month of the family joining, and is non-refundable. (If you join in January, the Membership fee is due every January)

The monthly fee remains the same each month, independent of the number of classes per month. All gymnasts will receive 20 scheduled class days per session (8 classes per summer session). 4 classes are given for each monthly fee that is paid. The 4 classes do not necessarily fall within one calendar month.

**Don’t want to forget?  Sign up for AUTOPAY and your credit card or checking account will be billed on the 15th of every month, and you’ll save 5% off the monthly fees.  See the front desk for more details. (Discount not available for team gymnasts)

Withdrawal Policy

All students are registered for the entire session unless a withdrawal form is completed. Written notification of withdrawal is required to the Front Desk two weeks (14 days) prior to withdrawal. Payment is required at that time through the final date of withdrawal. Refunds will not be given on monthly fees already submitted. Withdrawals will not be taken over the phone.

Once a withdrawal form is completed, the gymnast’s spot in class will not be held. If no withdrawal form is completed, fees are due for the following month.

Snow Days
Gymnastics classes are rarely cancelled due to weather conditions. If classes are closed, an announcement will be made on our website, Facebook page and WETM. If it is not safe for you to travel to class due to weather conditions, please do not travel. You may take a make-up class for any classes missed.

Make-Up Classes

*Tuition is not adjusted for missed classes. Make-up classes will be allowed where space is available. 

NEW!!!*Students who report an absence to the desk in advance will receive a “make-up token” that can be redeemed for a make-up class.   

*If the absence is not reported in advance, a token will not be created, and no make-up class will be available. 

*All make-up classes must be scheduled with the front desk in advance. Coming soon: Parents will be able to request a makeup on the Parent Portal! 

*Make-up tokens are forfeited after a child withdraws. 

*Make-up classes must be scheduled within 30 days of the missed class.  

*Students are limited to 20 Makeup tokens per calendar year (January 1 – December 31)

*IMPORTANT: If you do not call in advance to report that your child will be absent, you will not receive a makeup token, and will not be entitled to a make up class.

*Students may only have 2 make-up classes scheduled at one time.  
*Students may not attend 2 classes in the same day unless approved by Laura.
